Summary The Society of Inherited Metabolic Disorders maintains personal information in accordance with this privacy policy covering current and former members, applicants for membership, conference attendees, and website visitors. Membership lists with name, institutions, city, and state are public. Complete membership lists with full contact information is available to other members, subject to an opt-out. SIMD may rent or share membership lists, subject to an opt-out. Lists of conference attendees may be disclosed publicly, shared with conference attendees, or rented, subject to an opt-out. We otherwise use and disclose personal information for Society operations as described in this privacy policy. Introduction This privacy policy describes the personal information processing activities of the Society of Inherited Metabolic Disorders, a non-profit, membership organization that focuses on matters pertaining to inherited metabolic disorders. The policy covers current and former members of the society, applicants for membership, conference attendees, and website visitors. Openness This privacy policy describes the processing of most personal data by the Society. The Society respects the privacy interests of its members and others. We seek to strike a fair balance between the operational needs of the Society and the privacy interests of members by limiting the processing of personal information as described in this privacy policy. The Board of Directors may change this policy any time. When the policy changes, the date and version number will also change. Changes will also be briefly described in the policy history section at the end of this document, and copies of previous policies will be maintained by in the Society records and available for inspection. Information Collection The Society collects personal information only by lawful and fair means. When appropriate, we collect personal information directly from the data subject or with the knowledge or consent of the data subject. Members and Applicants for Membership: We collect personal information from members through a membership application that solicits standard contact information and a curriculum vitae. Applicants provide the names of two current SIMD members who support the application and who may provide additional information in support of their recommendation. Therefore, information about members comes from their applications and from other information provided directly by other members. We may seek updated address information for members from their institutions, from professional colleagues, through the Postal Service’s National Change of Address service, or from public sources. Conference Attendees: Information about those who attend SIMD conferences comes from registration information provided by attendees. Those seeking travel awards or reduced registration fees provide information to support their requests, and the information may be shared with SIMD members and staff. The names and institutions of travel award winners may be made public. Personal information on conference presenters comes from the presenters themselves. Professional evaluation of a proposed presenter or presentation falls outside the scope of this privacy policy. Website Visitors: We do not actively collect any personal information about website visitors unless a visitor provides information by filling out a form or sending an email message. The website may maintain a standard Internet web log that includes IP addresses and other information about visitors. We do not routinely review or use the information in a web log. However, if we suspect hacking, harassment, or illegal activity on the website, we may review the web logs and share them with law enforcement agencies or others to identify responsible individuals. We may set cookies on your computer when visiting our website. Any cookies are session cookies, designed to be erased when your browser session ends. We do not otherwise use cookies to track individual activities on our website. Use, Purpose, and Disclosure We process personal information to accomplish the goals of the Society. We do not solicit information online from children under the age of 13. We do not anticipate use of our online services by children. Members and Applicants for Membership: We may use and disclose information about applicants for membership to make a decision on the application. We may disclose applicant information to others we ask to assist us in making a decision. We use and disclose contact information about members to provide services to members through appropriate means, including postal and electronic mail. We may hire third parties to help us provide services. We disclose a public list of members, including name, institution, city, and state. A member may choose (opt-in) to include his or her address and telephone number in the public listing. Contact information for all members (address, city, state, zip, phone, fax, and email) is posted on the website where it is accessible to other members. A member may opt-out of the sharing of contact information with other members by checking the specified box in the member information form However, a member may not opt-opt of the sharing of his or her name, institution, city, and state. Contact information about members may be rented or otherwise shared with others, including commercial organizations and non-profit organizations, when the disclosure is approved by the Board of Directors. Members may opt-out of the sharing by sending an email message to the SIMD Administrator at /Contact.htm. Unless a member has opted-out of sharing, the member’s contact information may be shared.

The Journal is published by Elsevier.
The Society provides Elsevier with a list of
members with their addresses.
We may share changes of addresses with
Elsevier.

The website provides a message board for the use of members. Any information posted on the message board is accessible to other members. Information about former members may be maintained by the Society for an indefinite period. Conference Attendees: We use information about conference attendees for conference purposes. We may disclose the information to contractors hired to run the conference, to credit card processors and companies for credit card payments, to hotels and other providers of conference facilities, and to co-sponsoring professional organizations. We may rent or otherwise share lists of conference attendees, including contact information, with commercial organizations that may use the information to send postal or electronic mail to attendees. We may share lists of conference attendees with other professional societies. Attendees may opt-out of the sharing of lists with commercial organizations by checking the appropriate box on the registration form. We may prepare and circulate lists of attendees, including contact information, to others who attend the conference. We post a list (names, affiliations, and email addresses) of conference attendees on our website for a period following a conference. Attendees may opt-out of the inclusion of their contact information (but not their names) on attendance lists by checking the appropriate box on the registration form. Information on conference presenters, including posters, is posted on the website and in the Society's journal. The disclosure includes the normal identification and affiliation information for a scientific publication. For conferences held in other countries with local co-sponsors, the use of information about conference attendees is managed by the co-sponsor in accordance with privacy laws of the jurisdiction where the conference is held.

We do not normally make any other use or
disclosure of the information, except for security purposes. In addition to the uses and disclosures already discussed - We may voluntarily disclose any personal information to law enforcement agencies if we have reason to believe that a law has been or may be violated. We may disclose personal information to the extent we deem it necessary: (i) to protect the security or integrity of its website or online service; (ii) to take precautions against liability; (iii) in the event of a security breach, to take action to prevent, minimize, or remedy any harm from the breach; (iv) to respond to judicial process; or (v) to the extent permitted under other provisions of law, to provide information to law enforcement agencies or for an investigation on a matter related to public safety. Security We maintain personal information online and offline using security methods normally employed by non-profit scientific organizations. We rely on our web hosting company to maintain the security of our website. We accept credit cards through an independent website that has its own privacy and security policies. We do not maintain credit card information in any online database. Access, Correction, and Data Quality We try to maintain accurate records about members and others, and we need the assistance of data subjects to maintain complete and current records. Anyone who wants a copy of his or her information that the Society maintains can make a request to the SIMD Administrator.
